Preparing an equipment quote request
A short checklist for product codes, quantities, site requirements and supporting documents.

Start with an equipment schedule
Record the exact model code and quantity for each item. Include the chosen dimensions, capacity, finish or inlet arrangement where the range offers more than one configuration. Keep optional accessories on separate lines.
- Project name and a contact person who can confirm the specification.
- Product and model codes, with one quantity per line.
- Required accessories and any alternatives that may be considered.
Include the relevant site details
State the delivery location, preferred timing and whether the request is for a new installation or a replacement. Identify known space, access or connection constraints so the team can ask the right follow-up questions.
- For replacements, a photograph of the existing item and its model label can help identify the requirement.
- For a new layout, include the relevant drawing or equipment schedule, with dimensions and a revision date.
- Mark any measurements or quantities that still need confirmation.
Keep the project information together
Keep a saved project list for each separate job. A schedule of model codes and quantities can also be prepared as a CSV for bulk entry. Attach relevant drawings, photographs and schedules to the quote request, keeping the files focused on this project.
Remove unrelated personal information from documents before sharing them. Make any specification changes clear in the notes so an older drawing is not mistaken for the current requirement.
Review the returned quotation
A quote request is not an order confirmation. Check the offered models, quantities, separately priced accessories, delivery arrangements and quoted lead times before proceeding.
